Start With the Risk Assessment
Attendance, alcohol service, performer profile, venue layout and history all shape your security plan. Municipal permits and insurers increasingly require a written risk assessment.
Book your security provider early enough that they can contribute to the assessment, not just execute it.
Get Your Guard Ratios Right
Common planning ratios start around one guard per 100 attendees for low-risk events and tighten for alcohol service or high-energy crowds. Your venue and insurer may mandate specific numbers.
Understaffing security is the most common and most dangerous event planning error.
Screening and Access Zones
Define your zones early: public, ticketed, VIP, backstage and service areas each need different controls. Bag checks and credential systems only work when entry layout supports them.
Brief every officer on the zone map at the pre-event meeting, and keep a supervisor roving between posts.
Plan for the Worst Day
Your emergency plan should cover evacuation routes, medical response, severe weather and communication failure. Every officer should know their role before gates open.
